About Hafenbetriebe Worms GmbH and Stadt Worms Beteiligungs-GmbH

Digital transformation is no longer a topic exclusive to the private sector – the public sector, too, is searching for solutions to make administrative processes more efficient, transparent, and secure. A successful example of implementing such technologies is the use of Inhubber by Hafenbetriebe Worms GmbH and Stadt Worms Beteiligungs-GmbH. This case study shows how Inhubber helped both organizations revolutionize their contract management and drive digital transformation forward.

Initial Situation: Outdated Processes and Lack of Digitalization

Lisa Köhler, Managing Director of Hafenbetriebe Worms GmbH and Head of HR and Administration at Stadt Worms Beteiligungs-GmbH, describes the situation before the introduction of Inhubber:

“At Hafenbetriebe, a large portion of our contracts still existed in paper form – many dating back to the 1950s or 1960s. There was no centralized digital storage, which made searching for and managing documents extremely difficult.”

Hafenbetriebe Worms operates the port of Worms, where cargo is handled both via waterways and the rail network. Despite having a relatively small team – six employees in operations and two in management – the contracts governing these activities are often long-term and complex.

The situation at Stadt Worms Beteiligungs-GmbH was slightly better:

“We had already digitized our contracts, but the existing tools were not designed for contract management. In particular, deadline tracking and task management couldn’t be handled efficiently,” Köhler explains.

For both organizations, it was clear: a comprehensive solution was needed to optimize administrative workflows and achieve long-term efficiency gains.

The Decision for Inhubber: Flexibility and Security

After evaluating several software solutions, the decision was made in favor of Inhubber – not only because it is a web-based platform that can be accessed from anywhere, but also due to its high flexibility in structuring contracts.

“We wanted the ability to organize our contracts in clearly defined categories and sections that fit our organization exactly,” says Köhler. “Inhubber offered exactly those customization options.”

Another key factor was security. As a municipal company, Hafenbetriebe Worms GmbH is subject to strict data protection regulations.

“Since I also serve as our data protection officer, it was important to me that we work with a German provider that meets the highest security standards,” explains Lisa Köhler.

Inhubber convinced the team with its blockchain-based end-to-end encryption, which securely and immutably stores all data.

Implementation and Initial Results: Streamlined Processes and Faster Access

The implementation of Inhubber went smoothly, and the first positive effects became apparent shortly afterward.

“The biggest improvement was that we now have all contracts digitally and centrally recorded. I know exactly where to look and can find the information I need with just a few clicks,” explains Köhler.

Inhubber offers Hafenbetriebe Worms and Stadt Worms Beteiligungs-GmbH not only a powerful full-text search across all documents but also a structured view of contract information using custom fields.

“We set up the contract information in a way that fits our needs perfectly. The search function makes our work so much easier – especially when dealing with contracts that have been around for many years,” adds Köhler.

Expansion to Stadt Worms Beteiligungs-GmbH: A Success That Set an Example

After Hafenbetriebe Worms was fully convinced by Inhubber, Lisa Köhler decided to introduce the solution at Stadt Worms Beteiligungs-GmbH as well.

“We were already using a project management tool, but it didn’t offer the necessary functions for contract management. With Inhubber, we can store contracts centrally, extract relevant information, and set up automated deadline tracking – something the previous system couldn’t do,” she explains.

The standardization of processes and the ability to manage contracts efficiently across institutions led to further efficiency gains.

Close cooperation between the two organizations also made implementation easier.

“I was able to give my colleagues tips during the rollout that I had already learned from the Hafenbetriebe implementation. That accelerated the process significantly,” says Köhler.

Efficiency Gains and Benefits of Using Inhubber in Public Administration

The introduction of Inhubber at Hafenbetriebe Worms and Stadt Worms Beteiligungs-GmbH led to significant efficiency gains and a noticeable improvement in contract management. Especially in the public sector – where many contracts are long-term and often tied to complex conditions – digitalization enabled substantial process optimizations.

Centralized Digital Contract Management

Before the introduction of Inhubber, many contracts at Hafenbetriebe Worms still existed in paper form. Some dated back to the 1950s or 1960s and were difficult to locate — a centralized digital archive was completely lacking. With the implementation of Inhubber, this issue was resolved immediately: all contracts were digitized and stored in a central location. As a result, search times were significantly reduced. Today, users can quickly and efficiently access the required documents — either via full-text search or through targeted navigation in clearly structured folders.

Deadline Tracking: Saving Time Through Automation

The digital storage of contracts in Inhubber offers the additional benefit of automating previously manual processes. In particular, automated deadline tracking significantly relieves staff workload. In the past, contract deadlines had to be monitored manually – a time-consuming process prone to oversights. As a result, important deadlines could be missed, or price negotiations might not be initiated in time.

“Without automated deadline tracking, we would have missed important adjustments, which could have had a negative financial impact,” explains Köhler.

Today, automated reminders and transparent tracking ensure that relevant deadlines are met on time and contract terms can be adjusted accordingly. Especially in public administration, where long-term contracts are common, this type of automatic monitoring proves especially valuable.

E-Signature: Greater Efficiency and Transparency

In addition to improved clarity and structure, the integrated e-signature feature plays a key role in increasing efficiency and significantly accelerating the entire contract process. Before the introduction of Inhubber, contracts had to be printed, manually signed, and then sent by post or internal mail to the relevant parties — a time-consuming workflow that often caused delays. With Inhubber, signatures are now fully digital and legally compliant. Contracts can be forwarded immediately to the responsible individuals for processing. This has not only drastically shortened turnaround times but also greatly improved collaboration between departments and subsidiaries.

More Transparency and Traceability

In addition to saving a significant amount of time, Inhubber also brought considerably more transparency to contract management. Thanks to structured storage and the ability to view all relevant contract information at a glance, previously overlooked contracts and untapped potential were identified. This proved especially beneficial for Hafenbetriebe Worms — some contracts hadn’t been reviewed in decades. Thanks to Inhubber’s systematic organization and categorization, these contracts were reintegrated into the administrative workflow, leading to a noticeable improvement in contract oversight and control.

Security Advantages Through Blockchain-Based Encryption

Data security was a key factor in the decision to choose Inhubber. As municipal organizations, both Hafenbetriebe Worms GmbH and Stadt Worms Beteiligungs-GmbH are subject to strict data protection regulations.

“Since I also serve as the data protection officer, it was important to me that we work with a German company that meets high security standards,” explains Lisa Köhler.

With Inhubber’s blockchain-based end-to-end encryption, all sensitive contract data is securely protected and immutably stored at all times. This gave both organizations the confidence to digitize even highly confidential contracts — without compromising on data security.

Scalability for Future Needs

Another advantage that Lisa Köhler emphasizes is the scalability of Inhubber. Because the solution is web-based and can be flexibly adapted to different requirements, it was easy to expand the system from Hafenbetriebe to Stadt Worms Beteiligungs-GmbH.

“The expansion was seamless — that’s exactly how modern software should work,” says Köhler.

This flexibility also makes Inhubber an ideal solution for other public institutions looking to implement their digitalization strategies gradually and in line with their specific needs.

Conclusion: Digitalization as the Key to Greater Efficiency and Security

The implementation of Inhubber at Hafenbetriebe Worms and Stadt Worms Beteiligungs-GmbH clearly demonstrates how essential modern, digital contract management is — especially in the public sector, where long-term contracts and complex structures are part of everyday operations. Inhubber has not only significantly streamlined workflows, but also increased transparency, traceability, and security.

“I would recommend Inhubber to any public institution at any time,” says Lisa Köhler in conclusion. “It offers all the features that modern contract management requires — from deadline tracking and e-signatures to a secure digital archive. And best of all: it’s accessible from anywhere.”

Inhubber has proven itself in practice and is the ideal solution for public institutions seeking to modernize their processes while maintaining the highest security standards.

With Inhubber, other public institutions can also benefit from the advantages of digital contract management and sustainably increase the efficiency of their workflows — securely, flexibly, and future-ready.

“The introduction of Inhubber has revolutionized our workflows. What used to take hours or even days — like searching for contracts or manually tracking deadlines — we can now do with just a few clicks. What impressed us most is the combination of flexibility, security, and ease of use. With Inhubber, we’ve found a solution perfectly tailored to the needs of public administration. I can wholeheartedly recommend it to any institution looking for a modern and secure way to manage contracts.”

About Maag Recycling

Maag Recycling, a leading Swiss metal recycling company based in Winterthur, employs around 70 people. Ten staff members work in administration, while the rest are active on-site. With sustainability and resource efficiency gaining importance, Maag Recycling plays a crucial role in the circular economy. As the volume and complexity of contracts increased, the company began searching for a digital solution to manage contracts efficiently.

The challenge: disorganized storage and manual processes

Before Inhubber, Maag Recycling managed its contracts using Excel spreadsheets and physical folders. Contract data was updated manually, deadlines were tracked in Excel, and documents were stored across different departments. This approach led to several issues:

  • Decentralized Storage: Contracts were scattered across departments, making access difficult and inconsistent.
  • Error-Prone Deadline Tracking: Missed termination dates resulted in costly automatic renewals.
  • Time-Consuming Searches: During internal audits, finding the correct documents was a laborious task.
“It was a constant challenge to manually track deadlines and quickly find contracts. One case in particular, where a missed termination date caused significant additional costs, made it clear that we needed to change.” – Amanda Knecht.
The solution: Inhubber as a centralized contract management system

After evaluating several tools, Maag Recycling selected Inhubber. The platform met all their requirements and enabled a sustainable improvement in internal processes:

  • Centralized Storage: All contracts are now centrally stored, clearly structured, and filterable—enhancing clarity and efficiency.
  • Automated Deadline Monitoring: Inhubber sends timely alerts to reduce the risk of unwanted contract renewals.
“With Inhubber, we can ensure that no deadline goes unnoticed. The system notifies us early, so we can take action. That’s a huge benefit and has already helped us avoid unnecessary extensions.” – Amanda Knecht.
  • User-Friendliness: Its intuitive interface makes it easy to use, even without technical training.
“Inhubber’s structure is very clear and easy to navigate. We can find everything quickly and access all the features without difficulty. That was a key criterion for us, as we didn’t want to conduct additional training.” – Amanda Knecht.
  • Digital Signature: Contracts can be securely signed electronically—faster, more efficient, and paperless.
  • Data Security and Compliance: Inhubber encrypts all data and stores it GDPR-compliantly within the EU.
Implementation: fast, structured, and practical

The implementation of Inhubber went smoothly. Maag Recycling assigned an intern to set up the contract management structure and migrate all contracts into the new system. The process took approximately ten working days and was carried out in three phases:

  1. Contract Upload and Digitization: All existing contracts were uploaded to the Inhubber system and digitized. The intern configured the contract structure according to Maag Recycling’s requirements and organized various contract types into appropriate categories.
  2. Structuring and Optimization: After the initial upload, the team optimized the structure to make full use of Inhubber’s search and filter functionalities. New subfolders were created, and key data points for each contract were recorded so that all relevant information was included in the contract descriptions.
  3. Review and Final Adjustments: Finally, Amanda Knecht reviewed all contracts to ensure the accuracy and completeness of the information. The implementation resulted in all contracts being centrally stored and uniformly structured.
Results: less effort, more control

Using Inhubber brought measurable improvements:

  • Transparency and Accessibility: Contracts are now centrally stored, searchable, and easy to filter.
  • “We used to spend a lot of time searching for specific contracts in various folders. Now we can find everything instantly using Inhubber’s search function. It saves us time and reduces frustration.” – Amanda Knecht.
  • Reduced Risk: Automated deadline monitoring prevents costly automatic renewals.
  • Digital Signature: The end-to-end contract process, from creation to signing, is faster and more flexible.
  • Audit Readiness: Annual audits are now easy to prepare, with documents instantly available.
  • High Usability: The system is self-explanatory and requires no formal training.
“Inhubber is very intuitive. Our staff quickly got used to it, and we’ve had no issues with its use so far.” – Amanda Knecht.
Conclusion: Inhubber as a Future-Proof Solution

Inhubber has elevated Maag Recycling’s contract management to a new level. Centralized storage, automated deadline tracking, and digital signatures have significantly improved efficiency and transparency.

“Inhubber is the ideal solution for us. Everything is now in one place, we can track deadlines, and sign contracts digitally. It saves us time and makes our work much easier. I recommend Inhubber to any company looking for a centralized, intuitive, and future-ready contract management solution. Inhubber has completely transformed our contract management. All contracts are now stored in one clear, central location, and the automatic deadline tracking ensures we don’t miss important dates—which not only saves time but also significant costs. The system is intuitive and easy to use, and its flexible structure lets us tailor the organization to our needs. Inhubber is the perfect solution for companies seeking efficiency and clarity in contract management.” – Amanda Knecht.

Overview of the P3 Clinic

The P3 Clinic is a private acute care clinic specializing in psychiatry, psychosomatics, and psychotherapy, based in Germany. It currently operates with 26 beds and plans to expand to around 100 beds by 2026. With approximately 55 employees, the P3 Clinic is a young and growing organization — established just four years ago. As such, many processes are still in development or undergoing refinement.

Initial situation: decentralized contracts and lack of transparency

When Yvonne Baumann joined the P3 Clinic as a project manager two years ago, Inhubber had already been introduced — but was hardly in use. Only a single contract had been uploaded, and there was neither onboarding nor active daily use. The main challenge: contracts were stored in decentralized locations on shared drives, with no deadline tracking or standardized structure.

The solution: seamlessly integrating Inhubber into daily operations

Yvonne Baumann decided to start using the existing system actively from day one. She describes her experience as follows:

“I looked at it and started working with it fairly quickly – it was completely intuitive.”

Without any formal training, she was able to get started right away and found the interface self-explanatory:

“Most of it is self-explanatory. I rarely had to look anything up.”

Inhubber’s user interface proved to be clear, flexible, and practical — especially for smaller organizations with limited resources.

Current use: centralized contract overview and reminder functionality

Today, the P3 Clinic actively uses Inhubber to manage around 60–70 contracts. External contracts are fully digitized and equipped with automated reminders. This ensures that no deadlines are missed and that critical contract renewals are never overlooked.

“If I enter everything correctly and set the reminders, I can completely rely on it — the matter is taken care of. Inhubber reminds me in time.”

Recommendation for small and medium-sized enterprises (SMEs)

According to Yvonne Baumann, Inhubber is particularly well-suited for small and mid-sized organizations — such as medical practices or tax consulting firms:

“Inhubber is not a major investment and can be implemented quickly. Many SMEs still keep their contracts in filing cabinets — for them, this would be a real relief in day-to-day work.”

Outlook: interest in document management and AI features

The P3 Clinic plans to expand its contract management system by adding a document management solution in the future. Yvonne Baumann also sees great potential in this area:

“Our documents are currently stored on shared drives, and anyone can make changes. A centralized document management system would be a great solution for us.”

She is also open to AI-powered features for risk detection in contracts:

“You’re always open to surprises. Maybe there are risks that would suddenly become visible — ones we hadn’t even thought of yet.”

Conclusion: Inhubber impresses with intuitive use and genuine work relief

“We are very satisfied. I really enjoy working with the tool. It’s a real asset.”

The P3 Clinic case study demonstrates that Inhubber can be implemented quickly and without extensive training — delivering immediate, tangible benefits in digital contract management, especially for smaller organizations.

About mvolution GmbH

Mvolution GmbH is now placing a strong focus on security! I am Stefan Wagner, CEO of mvolution GmbH.

As consultants, we have been working for the past 13 years with companies looking for digital solutions to operate more modernly and efficiently.

As experts in mobile apps, we develop mobile applications for our clients that offer an optimal, cross-platform approach.

With our work, mvolution GmbH actively contributes to digital transformation.

Strategic consulting — from concept and design to original development and marketing — is part of our daily work.

From my 20 years of experience as a CEO, I have learned that proper planning and structure of all projects, as well as the corresponding document management, are key elements of a stable company.

Problem

As we have steadily grown in recent years, keeping track of our contracts became increasingly difficult. Up to a certain point, I was able to keep all contracts in my head and remained aware of the key contractual details. However, over time, mistakes were made and important deadlines were missed.

In some cases, completing contract signings took several days due to delays from postal delivery or the need for multiple people to scan and send signatures.

There are also many deadlines and appointments that need to be monitored. At first, one doesn’t realize how many contracts gradually come up. Therefore, it is advantageous to have a sensible structure that covers everything. I found this structure in Inhubber.

Solution

As partners from the same industry, it is clear to us that we also rely on cloud-based, innovative solutions to carry out our work securely, quickly, and in an organized manner. Using an agile system is essential for entrepreneurs aiming to grow and adapt. What I particularly appreciate about Inhubber is the ease of use and the security of the solution.

Now I have access to my contracts from anywhere in the world. I receive instant notifications when a contract is about to expire or a deadline is approaching. Of course, I can also digitally sign contracts and have them signed. This also greatly facilitates collaboration with business partners.

I regularly use the dashboard to maintain an overview of all contracts and related tasks.

In a nutshell: mvolution GmbH is committed to complete security and long-term sustainability

The volume of our contracts and projects is steadily increasing. I am grateful that we decided to go with Inhubber in time. Had we waited just a few months longer, the effort and cost of transitioning would have likely been much higher. It is reassuring to know that we have a company by our side that focuses on innovative technologies, high data security, and sustainability.

Unfortunately, sustainability is still often underestimated today, and with the support of Inhubber, we will continue investing in sustainable, environmentally friendly projects going forward. We are now saving more paper work than ever before.

Conclusion

By choosing Inhubber, mvolution GmbH significantly enhanced the security and efficiency of its contract management. With encrypted document handling, blockchain-based signatures, and streamlined workflows, Inhubber provided a future-ready solution that met the company’s high standards for data protection and compliance. The partnership enabled mvolution to focus on innovation and growth while relying on Inhubber for reliable, secure contract operations.

automatic reminder system for deadlines
Never miss a deadline again – all important dates are automatically and reliably tracked.
Overview of stadtwerke Clausthal-Zellerfeld GmbH

Stadtwerke Clausthal-Zellerfeld GmbH is a municipal utility company that manages a wide range of contracts in the areas of energy, water, and infrastructure. In a highly regulated sector, efficient and transparent contract management is crucial for meeting deadlines, minimizing risks, and controlling costs.
Before implementing Inhubber, the company faced significant challenges in managing its contracts.

Franziska Riefling, who is responsible for contract management at Stadtwerke Clausthal-Zellerfeld, describes the problems the company faced prior to introducing Inhubber and how the platform helped to resolve them.

For Stadtwerke Clausthal-Zellerfeld, the implementation of Inhubber marked a turning point, bringing more efficiency, transparency, and control over its growing number of contracts.

The challenges: decentralized storage and inefficiency

Before using Inhubber, contract management at Stadtwerke was highly decentralized. Contracts were stored either as paper files in binders or as digital files spread across various departments. Managing these documents was a manual process, and there was often no central overview of active contracts. This led to the following problems:

  1. Missed deadlines
Manual deadline tracking was unreliable. Termination and payment deadlines were often overlooked, resulting in unnecessary costs due to automatic renewals or late payments. The company missed important deadlines and had no structured system in place to monitor them automatically.
  2. Lack of transparency
Since each department had its own system for storing documents, neither the legal team nor upper management had a centralized overview of all contracts. Contracts were saved in various folders and formats, making the overall structure difficult to navigate. Searching for specific agreements was time-consuming and frustrating.
  3. Duplicate contracts
Without a centralized overview, errors occurred more frequently—such as the accidental signing of duplicate contracts—resulting in unnecessary costs and extra administrative work.
  4. High time expenditure
Managing contracts manually in paper format and basic Word lists was not only error-prone but also extremely time-consuming. Searching through binders and monitoring deadlines cost employees valuable time that could have been used more productively.

Franziska Riefling summarizes the situation: “We constantly had issues with missed deadlines, duplicate contracts, and unnecessary costs because we lost track of our agreements. It became clear that we needed a digital solution to eliminate these inefficiencies.”

The solution: implementing Inhubber

After a thorough evaluation of several providers, Stadtwerke Clausthal-Zellerfeld GmbH chose Inhubber as its central solution for contract management.

The decision was based on several factors, with user-friendliness, centralized document storage, and automated dealine monitoring being the most convincing.

Key benefits and advantages of Inhubber
  1. Centralized and Transparent Storage
One of Inhubber’s key advantages was the ability to store all contracts in one central location. Instead of being distributed across departments, all contract documents are now stored in a structured, digital environment. With clearly organized workspaces, folders, and subfolders, contracts can be sorted by department, type, or project.
This central storage simplifies access to all documents. Franziska Riefling notes:
“With Inhubber, we finally have a complete overview of our contracts. It’s easy to use and saves us a huge amount of time since we no longer have to dig through multiple folders.”
  2. Automated Deadline Monitoring
Automated deadline tracking is one of Inhubber’s most powerful features and solves one of the biggest challenges the company faced before implementation.
Inhubber automatically tracks contract terms, termination deadlines, and payment due dates. When a deadline is approaching, responsible employees receive timely notifications so they can act accordingly.
This feature has already helped Stadtwerke avoid unnecessary contract extensions and reduce costs.
“Automated deadline monitoring is especially important for us. We used to rely on manual lists, which were often inaccurate. Now we can be confident that no deadline goes unnoticed,” says Riefling.
  3. Faster Access and Efficiency Gains
Thanks to Inhubber’s powerful search and filter functions, Stadtwerke Clausthal-Zellerfeld can now find contracts in seconds—something that used to take much longer. The platform features an intuitive user interface that allows employees to search for documents by various criteria, speeding up the entire process.
The technical department, accounting, and executive management in particular benefit from this new level of efficiency.
“The efficiency gains are enormous. We used to spend hours searching for contracts. Today it takes just a few seconds to locate the right document and extract the necessary information,” explains Franziska Riefling.
  4. Security and Access Control
Another key benefit of Inhubber is security. Since all contracts are stored in the cloud, the company can ensure that contract documents remain secure—even in the event of a server failure or local data loss.
The centralized and digital environment guarantees data integrity, while access rights can be clearly defined. Inhubber offers flexible permission levels, so only authorized staff can view or edit certain contracts.
  5. Cost Savings Through Error Prevention
By implementing Inhubber, the company not only improved efficiency but also achieved direct cost savings.
Mistakes like the signing of duplicate contracts are now a thing of the past. Additionally, automated deadline tracking helps prevent costly automatic renewals.
  6. User-Friendliness and Quick Implementation
Another major advantage of Inhubber was how easy it was to implement and use.
The city utility company did not require extensive IT integration, and after a short training session, employees were able to work with the system immediately.
“The implementation was fast and straightforward. Our team adapted quickly and could start using the platform in no time,” says Riefling.
Future outlook: expansion of Inhubber usage

Although Stadtwerke Clausthal-Zellerfeld already uses Inhubber extensively, Franziska Riefling sees additional potential for the platform in the future.

The next steps include integrating additional departments and systematically digitizing older contracts.

“We’re not yet using Inhubber to its full capacity. But we plan to expand its use even further and also digitize legacy contracts,” Riefling adds.

Conclusion: Why Inhubber is the ideal solution for stadtwerke Clausthal-Zellerfeld GmbH

Implementing Inhubber has revolutionized contract management at Stadtwerke Clausthal-Zellerfeld.
The utility company now benefits from centralized, transparent contract administration that reduces errors, ensures reliable deadline tracking, and significantly simplifies daily operations.

The platform has allowed the organization to save both time and money by drastically improving administrative efficiency.

“Inhubber helped us take our contract management to the next level. The central storage and automated deadline tracking have become indispensable for us. We would recommend Inhubber to any company looking to optimize its contract workflows,” says Franziska Riefling.

For Stadtwerke Clausthal-Zellerfeld GmbH, Inhubber is the ideal solution for addressing the complexities of contract management and sustainably improving operational efficiency.

“With Inhubber, we have completely transformed our contract management. The central storage and deadline automation not only help us stay organized but also prevent unnecessary costs from missed deadlines. The intuitive interface makes daily work much easier, and we can now manage our contracts quickly and efficiently. Inhubber has become essential to us, and I can confidently recommend it to any organization looking to improve its processes.”  – Franziska Riefling, Stadtwerke Clausthal-Zellerfeld GmbH

About the digital signature

The Digital Signature – As the founder of bukinist.de (an online marketplace for new and used books) and co-founder of pressa.de (magazines and periodicals in Russian by subscription), I have accumulated many contracts over the past few years. Many contracts with customers and suppliers frequently had to be mailed for signing, which cost a lot of money and, more importantly, time. A solution for digital signing and a clear structure for the contracts were needed! A friend recommended Inhubber to me.

Problem

I had been dissatisfied with the signing process for several years. The contracts had to be printed and sent to suppliers. In some cases, contracts were scanned and sent via email by some signatories, while others sent them by mail to be signed. As a result, we experienced significant time delays and had no visibility into where the contract was at any given time, as well as how long it would take before it was signed and returned.

This means we had two main problems: a lack of visibility of all the documents and lengthy signing processes.

Solution: digital signature

After a demo, we decided to implement Inhubber. Now, the contract signing process with Inhubber is incredibly simple. Not only are ease and speed great advantages, but also how it reflects my identity as an entrepreneur.

The digital signature, or digital stamp, holds both innovative and aesthetic value for me. I am open to innovations and enjoy using them to add a personal touch to both my personal and professional presence.

Scheduling and deadline management in Inhubber is also a very valuable feature for us, as there are numerous deadlines and appointments that need to be monitored. I was looking for a secure and well-structured platform, and I found this structure at the right time with Inhubber.

I also greatly appreciate the personal and trustworthy support from Inhubber. Additionally, customer feedback is taken very seriously and quickly implemented into the product, which is very exciting.

As an international entrepreneur, I am fully convinced by Inhubber and can confidently recommend it.

About rebuy

Rebuy is a leading e-commerce company, specializing in the sale of second-hand electronics and media. Since its founding in 2009 in Berlin, the company has continuously strengthened its market position, now employing over 650 people. Rebuy offers its customers sustainable and affordable alternatives to new electronics products by purchasing, checking, and reselling second-hand goods.

Despite its success, rebuy has faced challenges in managing its contracts in recent years. With a constantly growing business volume, the number and complexity of contracts increased, prompting the company to look for a digital solution for its contract management.

Challenge: decentralized storage and lack of transparency

Before the introduction of Inhubber, rebuy managed its contracts in a decentralized manner, leading to significant inefficiencies. The contracts were stored in different departments, and each department had its own method for organizing contracts and monitoring deadlines. In particular, the legal department, which should have had centralized access to all contracts, often lacked a complete overview. This led to problems such as missed termination deadlines, causing unnecessary costs for the company. Frank Kurzer, Head of the Legal Department at rebuy, explains:

“We frequently had cases where termination deadlines were missed because the responsible parties in the departments forgot about them. This financially harmed us, as in some cases we had to continue contracts that we actually wanted to terminate. We wanted to solve these problems with a centralized contract management system.”

Another problem was the fragmentation of storage. Contracts were stored not only in the legal department but also in the respective departments responsible for their completion. This chaotic storage structure made work considerably more difficult and led to repeated searches for contracts, which were often time-consuming and inefficient.

The solution: introduction of Inhubber

To address these challenges, rebuy began searching for a suitable e-commerce contract management software. After an intensive evaluation of various options, the company chose Inhubber. The reasons for this decision were diverse, but in particular, user-friendliness, the cloud-based structure, and EU-compliant data storage played a central role. Efficient contract management at rebuy with Inhubber – Frank Kurzer describes the selection process as follows:

“We looked at several contract management solutions, including larger providers like Adobe. Ultimately, we decided on Inhubber because it offers a simple, intuitive user interface and provides exactly the features we need as a mid-sized company. Additionally, it is a cloud solution, which saves us the effort of using our own servers for contract storage.”

Another crucial advantage of Inhubber was the ability to store and manage all contracts centrally in one place. This ensured that the legal department always had access to all contracts, while at the same time, the filing structures of the individual departments were standardized.

The implementation: smooth transition to digital contract management

The implementation of Inhubber at rebuy went smoothly. Thanks to the cloud-based SaaS solution, no complex IT infrastructure needed to be set up. Frank Kurzer emphasizes that Inhubber was ready for use immediately, and the team only required a brief training session to understand the platform’s basic functions.

“The introduction of Inhubber was really uncomplicated. The Inhubber team provided us with extensive support and offered training for our employees. Within a short time, we were able to create our work areas, assign rights, and integrate the software into our daily workflow. What we particularly liked was the ability to manage access rights flexibly, so not every employee has full access to all contracts, but they can still view the relevant documents.”

This flexibility was particularly important for rebuy, as there are different departments that need access to various types of contracts. At the same time, however, access rights had to be assigned in such a way that only authorized individuals could make changes to contracts.

Advantages: more efficiency, fewer risks, and optimized collaboration

Since the introduction of Inhubber, rebuy has seen significant improvements in contract management. In particular, the legal department benefits from the new transparency and clarity. The search for contracts, which previously took up a lot of time, has been greatly simplified. Thanks to the central storage and the powerful search function of Inhubber, the legal department can now access all relevant contracts in seconds.

Another highlight is the automatic deadline monitoring, which prevents important termination deadlines from being missed. This has already helped rebuy avoid unnecessary contract extensions, saving thousands of euros.

Frank Kurzer explains: “The automatic deadline monitoring is a real game-changer for us. In the past, we managed deadlines manually in Excel spreadsheets, which was of course prone to errors. Now, Inhubber ensures that we are notified in time about upcoming termination deadlines. This has already saved us from unnecessary costs.”

The user-friendliness of Inhubber is also highly appreciated by the employees at rebuy. Although some colleagues had little experience with contract management systems, they were able to quickly and easily work with the platform thanks to its intuitive interface. Efficient contract management at rebuy was smoothly implemented with Inhubber.

Future plans: expansion of Inhubber usage and introduction of new features

Rebuy plans to further expand the use of Inhubber in the future. An exciting new feature already in the pipeline is the integration of a document management system. This will allow rebuy to centrally manage not only contracts but also other business documents. Frank Kurzer sees great potential in this:

“We have an increasing need for a central storage system for all types of documents, not just contracts. If Inhubber can provide this functionality, it would be another step for us toward increasing efficiency.”

Additionally, rebuy is considering the use of Inhubber’s AI-based risk analysis to automatically detect potential risks in contracts. Although the legal department currently reviews contracts manually, Frank Kurzer sees the benefits of such technology:

The idea that AI could assist us in identifying risks sounds interesting. I can easily imagine that this would make our work easier in certain cases, especially when it comes to quickly analyzing large volumes of contracts.

Conclusion: why Inhubber is the ideal solution for mid-sized companies

The implementation of Inhubber at rebuy impressively shows how mid-sized companies can benefit from a centralized, cloud-based contract management solution. Inhubber not only offers a user-friendly and intuitive interface but also customized features specifically tailored to the needs of companies that do not have large legal departments.

For rebuy, Inhubber has proven to be an indispensable tool that has not only increased transparency and efficiency in contract management but also saved costs and minimized risks. Efficient contract management at rebuy with Inhubber: Frank Kurzer summarizes the experience as follows:

I would recommend Inhubber to any company at any time. Especially for mid-sized companies, the value for money is unbeatable. The software is easy to use, the implementation was simple, and we have already noticed significant improvements in our workflow.

How MSB-Mobility Service Berlin GmbH revolutionized contract management with Inhubber

msb-mobility service berlin GmbH is a corporate group offering various services in the bus transport sector. Their range of services includes charter buses, city tours, and the provision of bus workshops and washing facilities. With around 180 employees and numerous contracts affecting both the subsidiaries and the parent company, the company faced challenges in contract management. The lack of a central overview, missed deadlines, and decentralized storage made management complex and time-consuming.

With Inhubber, the contract management at msb-mobility service berlin GmbH has radically changed, now allowing for more efficient organization, better control, and greater clarity. Steffen Cordt, the group’s Sales Manager, explains how the implementation of Inhubber not only simplified contract search but also optimized deadline management.

The challenge: fragmented contract management and manual deadline control

Before the introduction of Inhubber, contract management at msb-mobility service berlin GmbH was decentralized and highly fragmented. Contracts were managed by the various subsidiaries, often in physical file folders or isolated storage systems. This brought a series of challenges:

  • Lack of Central Overview
Since each subsidiary managed its own contracts, it was difficult to quickly access the required documents. It was often unclear where a specific contract was stored or in which department or building it could be found. Steffen Cordt describes how this increased workload:
“When someone was looking for a contract, it was more like ‘good luck’ – and this led to long search times and uncertainty about whether all relevant documents were truly available.”
  • Missed Deadlines and Uncertain Deadline Control
Another problem was that termination deadlines for contracts were often overlooked. Particularly with long-term contracts that automatically renewed, this led to unexpected costs. There was no automated reminder to alert the team in time about upcoming termination deadlines.
“We missed termination deadlines several times, simply because no one remembered the contract still existed and should be terminated. This led to unnecessary costs that we wanted to avoid,” says Steffen Cordt.
  • Problems with Filing and Finding Documents
Contracts were often stored in paper form and were sometimes kept at different locations. Searching for a particular contract could take several hours, especially if the responsible staff did not know the structure or if the employees who originally filed the contracts had already left the company.

These challenges clearly showed that msb-mobility service berlin GmbH needed a digital contract management system that would provide central storage and automated deadline tracking.

The solution: implementing Inhubber as a comprehensive contract management tool

After evaluating different providers, msb-mobility service berlin GmbH chose Inhubber. There were several reasons why Inhubber was the ideal solution for the company:

  • Central and Transparent Storage
Inhubber allows for the centralized storage of all contracts and offers a flexible structure with workspaces, folders, and subfolders that can be tailored to msb-mobility service berlin GmbH’s specific needs. The company’s various business units received their own workspaces, where contracts were organized thematically or by department.
“With Inhubber, we now have everything in one place and can quickly access the required contracts using the search and filter functions. The structure is clear and easy to navigate,” explains Steffen.
  • Automated Deadline Monitoring and Reminder Function
One of Inhubber’s key features is the automated deadline monitoring. This function sends timely email notifications to responsible staff when a termination deadline is approaching.
“We particularly use the deadline monitoring for liability insurance and vehicle leasing contracts. The automatic reminder saves us a lot of time and prevents us from unintentionally renewing contracts,” describes Steffen.
  • Flexibility in Contract Use and New Applications
Through Inhubber, the company discovered new use cases. msb-mobility service berlin GmbH now uses the system not only for traditional contract management but also to manage training certificates and driver’s licenses. The company uploads the relevant documents into the system and uses the reminder function to be informed in time about upcoming training sessions or driver’s license renewals.
“We now also use Inhubber for our fire safety and first-aid training. As soon as the training is due again, we automatically receive a notification – this greatly simplifies the organization,” says Steffen.
  • Intuitive and User-Friendly Interface
Inhubber stands out for its simple and intuitive operation. Employees were able to work with the software quickly, without needing extensive training. To better familiarize themselves with the system, the team created test contracts with short durations to test the reminder and deadline monitoring functions in practice.
“The user-friendliness is excellent. The features are self-explanatory, and the email notifications ensure that nothing is forgotten,” Steffen describes the acceptance of the system.
  • Security and Accessibility
Since Inhubber is cloud-based, employees have access to the contracts anytime and from any location. This ensures that important documents are securely stored and accessible even in the event of a server failure or other technical issues.
“Our servers are all in the same building, and if something were to happen, we can be sure that our documents won’t be lost because they are backed up externally,” explains Steffen.
The implementation process: quick and easy setup

The implementation of Inhubber went smoothly. Steffen and his team were able to transfer contracts to the system within a few weeks and create a structure that suited their needs. The implementation process consisted of three steps:

  • Transfer of Contracts
All existing contracts were uploaded and digitized into the Inhubber system. The team created specific folder structures corresponding to the various departments and thematic areas. For example, vehicle leasing contracts were stored in their own folder, while training certificates and driver’s licenses were kept in a separate area.
  • Structuring and Optimization
After the initial transfer, the team further adjusted the structure and added subfolders to improve clarity. Additionally, important key data for each contract were recorded, allowing for quick filtering and searching.
  • Testing and Final Adjustments
Finally, the team tested the reminder and search functions to ensure that notifications worked as expected. Employees received a brief introduction to the system and were quickly able to familiarize themselves with its use.
Benefits and efficiency gains through Inhubber

Since the introduction of Inhubber, contract management at msb-mobility service berlin GmbH has improved in multiple ways. The centralized storage, automated deadline monitoring, and intuitive interface have reduced workload while increasing control and transparency. Some of the main benefits Steffen and his team have experienced include:

  1. Time Savings in Contract Search
The centralized storage allows employees to quickly find contracts. The search and filter functions make long searches through folders unnecessary. Steffen estimates that the search function alone saves over two hours per employee each month, especially for contracts that are rarely needed.
  2. Avoidance of Contract Renewals and Cost Savings
Thanks to the automated deadline monitoring, the team no longer misses termination deadlines. This prevents unnecessary contract renewals and helps save costs. Although the company primarily has long-term contracts, Steffen expects the deadline monitoring to pay off, especially for annually renewable contracts.
  3. Efficient Management of Certificates and Trainings
Inhubber is used not only for contracts but also for managing training certificates and driver’s licenses. The automatic reminder ensures that all documents are renewed on time, reducing organizational effort. “In the past, we had to manually check when a training session or driver’s license renewal was due. Now, Inhubber handles that for us,” explains Steffen.
  4. Security and Availability
Cloud storage gives the company confidence that all important documents are externally backed up and accessible at any time. “No matter what happens on-site – we always have access to our contracts and documents. That gives us peace of mind and saves us worry in unforeseen circumstances,” emphasizes Steffen.
  5. Easy Use and High Acceptance
The user-friendliness of Inhubber ensures high acceptance among employees. The ability to create test contracts and try out the functions made the implementation easier. Steffen notes that most employees quickly appreciated the system and found it a real relief.
Conclusion: Inhubber as an indispensable tool for efficient contract management

The implementation of Inhubber has helped msb-mobility service berlin GmbH centralize contract management and automate processes. The transparent structure, user-friendly interface, and flexible features have made it possible to use the system not only for contracts but also for training certificates and driver’s licenses.

Steffen Cordt summarizes the benefits: “Inhubber is the perfect solution for us. We now have everything in one central location, never miss deadlines, and can efficiently manage our contracts. The system offers security and flexibility that are indispensable to our daily operations. I can recommend Inhubber to any company that values clarity, control, and time savings.”

Sign rental agreement digitally – smart contract solution

We have already been dealing with the topic of digitization in the company for more than two years. When Inhubber approached us with their smart contract solution, their digital signature and contract analysis using AI, the cloud-based application was tested at our company with a small team.

At first, an ibtroduction meeting took place. When we met Dr. Elena Mechik, COO of Inhubber, we had a good feeling after the first, detailed conversation and knew that this application could facilitate our daily work and work organization. Dr. Mechik explained the structure of the platform to us in an understandable and comprehensible way. Particularly noteworthy is that the application is very plausible and yet secure thanks to blockchain technology and thus fully meets the requirements of the GDPR.

With the help of the software, our employees can view contracts and all related information at any time. The automatic deadline reminder function helps us to ensure that we don’t miss any important deadlines. Users have the option to store deadlines and notes individually. The whole operation is very schematic and easy to understand. This is also one of the main reasons why more and more employees and departments have gradually become enthusiastic about it. The clear handling of the application enables our entire staff to familiarize themselves with it quickly. The digitization of the workplace is thus brought into focus and supports our employees to work paperless.

We use Inhubber successfully within our company group and have been able to increase our productivity noticeably and save paper at the same time. — Jan Taschlizki, CEO, TTI Group

Solution

The Inhubber contract management solution supports us in signing contracts, managing company contracts and sharing contracts with our employees. Security is ensured by documenting every transaction in the blockchain. The blockchain guarantees us a secure contract organization while being easy to use. The smart contract solution protects our contracts from unauthorized access and helps us to retrace all steps of contract processing, if necessary.

Individually defined authorizations enable separate access rights for individual employees. However, if exceptionally a document should be sent to another department, it is possible by sending this document directly from their own filing system.

Before implementing Inhubber, TTi relied on costly and inefficient paper processes. Thanks to Inhubber, paper costs have been reduced by 50% and time to closing a contract has been shortened immensely. Customers, agents and employees are delighted.

One crucial feature was missing at the beginning: a connection to Microsoft SharePoint, so that we can access the contracts signed using the Inhubber platform from all areas. The topic of integrating a SharePoint and other systems was in the pipeline at Inhubber, so the implementation and building of a SharePoint integration was prioritized for us. Barely two months later, the entire integration was implemented and a large-scale roll-out in the company was planned.

Normally, no big introduction or training is needed, but at our request, short trainings as well as short videos were offered as training material for some users of our company.

Thank you Inhubber for the great platform!
